To support our Regional Office for Southern Africa, we are looking for a:
Human Resources and Operations Manager
ROLE DESCRIPTION
Reporting to the Regional Director and working in close collaboration with Finance & Administration Manager, the HR & Operations Manager is responsible for facilitation of the HR and operational logistical functions of the Hivos Regional Hub for Southern Africa. The HR and Operations Manager facilitates the implementation of operational, administrative and human resource procedures for the Hub (for both projects and administration) and supervision of the day to day activities of the office support staff and outsourced services such as gardening, security and IT.
MAIN TASKS AND RESPONSIBILITIES
HR Functions
- Facilitate recruitment procedures including job profiling, advertising, initial screening
- Facilitate arrangement of interviews for vacancies
- Facilitate Staff contracting procedures
- Facilitate performance review and planning procedures
- Facilitate annual Staff contract renewals
- Develop and coordinate Office and individual learning activities
- Maintain HR records including Staff contracts, leave applications, performance records, learning activities
- Acting as a first port of call for human resource queries and requests and acting as an advisor to the Regional Director in interactions with the Workers Council
- Facilitate Works Council processes
- Maintain and update HR policies and procedures
Operational functions
- Coordinate maintenance of the Office IT facilities
- Coordinate Office building renovations & repairs & maintenance
- Management of Office Security facility
- Facilitate purchasing procedures ensuring compliance with Hivos procedures
- Assist with Project Staff Travel logistics
- Coordinate the insurance and Staff savings scheme facilities
- Facilitate project support functions
Operations functions
- Facilitate Office supplies purchases & stock functions
- Provide oversight on reception function
- Facilitate Asset management
- Facilitate Vehicle management & Taxis
- Support staff supervision (Driver, Office Orderly & Receptionist/Intern)
- Facilitate review and approval of Office petty cash & fuel floats
- Assist with coordination of meeting venues & rooms management
Other functions
- Facilitate the monthly review of Timesheets and Vehicle logbooks
- Facilitate preparations for organization meetings, policy papers, annual plan and reports
- Coordinate Management team meetings
QUALIFICATIONS
- Advanced Degree or equivalent in HR, Business Administration, related field;
- A minimum of 5 years of relevant experience at the national or international level in providing HR advisory services and/or managing staff and operational systems;
- Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and experience in handling of web-based management systems;

The Regional office is based in Harare, Zimbabwe. This position will be based in Zimbabwe. Hivos welcomes International & Regional applicants but can only offer a position to only those with a valid work permit for Zimbabwe. Hivos can only offer employment on local terms and conditions.
